Service description – Validoo Supplier

1. Service overview

Validoo Supplier is a service from GS1 Sweden for suppliers who want to validate, store and share trade item information and product images according to GS1 standards. With the service, you can publish information to retailers in both the Swedish and international markets via GDSN.

2. Target audience and users

The service is aimed at suppliers who need to share validated and quality-assured trade item information and images to retailers, distributors and other business partners for business or logistics purposes.

3. Service content

Validoo Supplier provides access to:

  • Validation of trade item information and images according to GS1 standards, including Swedish validation rules and any recipient-specific rules.
  • Quality assurance of trade item information, barcodes and images.
  • Storage of the latest version of submitted trade item information.
  • Sharing of quality-assured trade item information and images to recipients and in the open ProductSearch service.
  • Image management in the media bank and image production in GS1 Sweden’s photo studio.
  • Data pool that allows information to be shared with other markets.

4. Features

Other features include:

  • Create launches and distribute information to selected recipients.
  • Follow up on the status of sent information and recipients’ subscriptions.
  • Receive your own company’s trade item information via system-to-system integration.

5. Usage

Suppliers can send, receive and share trade item information and product images via Validoo in three ways, either individually or in combination:

  • In the Validoo web-based user interface (requires a separate agreement for Validoo DataEntry).
  • In a system from a GS1 certified and GS1 Sweden verified system supplier.
  • Through system-to-system communication.

For system-to-system communication, there are various connections for sending and receiving product information and images according to GS1 standards. The technical specification for these connections is included in the Supplier agreement between GS1 Sweden and the supplier. Each connection is set up separately, is supplier-unique and requires at least one own GLN.

Trade item information and product images your company sends via Validoo must comply with the current GS1 standard.

6. Prerequisites for using the service

The service requires:

  • A GLN (Global Location Number) to identify the company and GTIN (Global Trade Item Number) to identify products. These numbers are obtained using a GS1 Company Prefix that your company subscribes to from GS1 Sweden or any other GS1 member organization.
  • A Validoo Supplier agreement and compliance with the terms and conditions.
  • Validoo DataEntry or any other GS1 verified system to send item information.
  • That the system for sending trade item information communicates with Validoo using secure communication protocols.

7. Management, operation and support

  • Standard updates: GS1 Sweden adheres to global GS1 standards and upgrades the service with each new GDSN version release, typically 3-4 times a year.
  • Continuous development: New features are developed continuously and prioritised according to complexity and customer benefit.
  • Operation: The service is normally available 24 hours a day, with some periods of planned outages for maintenance.
  • Support: GS1 Sweden’s Customer Service is available by phone and email Monday-Friday.
